A Strategic Plan for Hubbell House Alliance
2005 – 2007

INTRODUCTION

The Hubbell House Alliance Board gathered for an offsite planning meeting October 7, 2005 to review and revise the strategic plan for the Hubbell House Alliance

It takes many volunteer hands to make this a success.  All members can be involved through the committees.  We welcome and need participation at all levels.

These plans lists, first, the objectives and second, the committee action pan for the next 18 months.    Committees will begin their work immediately

MISSION STATEMENT

The Hubbell House Alliance assists and facilitates the rehabilitation and maintenance of the Hubbell – Gutierrez House and Property. We assist in funding, planning, programming and managing for both historic and adaptive reuse.  We do this through education, fundraising and alliances for this historic cultural and agricultural community gathering place.

OBJECTIVES – October 1, 2005 through December 31, 2006

OVERALL OBJECTIVES

1.    Maintain a formal partnership with Bernalillo County Parks and Recreation Department (BPRD)
2.    Work closely with BCPR needs and objectives  to establish additional community workdays at the Hubbell House and property.
3.    Maintain a public relations venue with BCPR to promote the Hubbell Open Space site.
4.    Develop an strategic and operations plan for the Hubbell House and Property with an associated calendar of events or timeline
5.    Strengthen and define our partnerships with other groups.
6.    Define our working relationship with the Pajarito Village Association, Adobe Acres, and other South Valley neighborhood associations.
7.    Develop a communications plan including the publication of the newsletter and web site updated at least quarterly
8.     Set up office with computer, library, filing, security, archives, telephone
9.     Develop committees
10.   Have a yearly strategy meeting (usually October)
11.   Expand the Board to the full 12 members
12.   Procure the funding to hire an executive director or manager for the HHA (2007)
13.   Create a Board of Directors that includes representation from the greater Albuquerque area to develop an annual fund-raising campaign.
14.   Begin grant-writing for program-development for activities to be implemented at the Hubbell property that will generate income that will help sustain the Corporation.
15.   Establish a library and resource list for our docents, volunteers, educators and the community

FINANCE - Treasurer

1.    Work with CPA to design a financial system that assures accountability and compliance with the Corporation’s budget and complies with the audit requirements of the State of New Mexico and the Internal Revenue 501©(3)Code. (done have made arrangements with Jennifer Cantrell)
2.    Create a budget with a sustainable revenue plan for the Hubbell House
3.    Look for available monies through partnerships
4.    Solicit the governments for Monies
5.    Solicit corporate and private sponsors

MEMBERSHIP

1.    Increase membership in HHA in 2005 - 2006 by a minimum of 100%. (target 120 members)
2.    Establish membership from 6 South Valley neighborhood associations.
3.    Establish a Hubbell House Volunteer base of at least 30 within our membership.
4.;    Maintain the data base for reference and membership coordination, reports, put up as a members only web option

HUBBELL PROPERTY (Walls out)

1.    Maintain a Heritage Orchard
2.    Establish a demonstration garden project with our agricultural partners and involve community.
3.    Agriculture Committee to meet every 90 days
4.    Develop demonstration gardens involving the Master Gardeners and community members (2007).
5.    Support training programs, workshops, conferences and interpretive tours for the farm and agricultural topics.
6.    Establish a Destination Growers Market at the Hubbell Property.
7.    Establish a Children’s Learning Garden (2007).
8.    Maintain the Hubbell Property Operations
9.    Work on a grant plan and develop the Hubbell Property programs
10.  Nature trail maintenance and expansion
11.  Support Open Space for Wildlife
12.  Support the design for the cultural landscape around the house that will include vineyards, orchards, an heirloom vegetable garden and native grasses and flowers.

HUBBELL HOUSE (Walls in)

1.    Help secure funding for Phase II renovation.
2.    Organize community workdays at the Hubbell House.
3.    Secure funding for the establishment of the museum
4.    Draft an Operations Plan for the Hubbell House Museum.
5.    Establish a network for information on Hubbell Artifacts.
6.    Secure funding to design exhibits spaces in the Hubbell House and outdoor informational educational kiosk displays.
7.    Design exhibits spaces in the Hubbell House and outdoor kiosk displays.
8.    Secure funding for hornos in the kitchen yard

EDUCATION AND TRAINING

1.    Continue and improve a general training program for all Hubbell House Docents and Volunteers.
2.    Draft educational programs on our local history.
3.    Establish programs teaching how to best live with the land – sustainable agriculture
4.    Establish plan to hold conferences on farming, history, etc
5.    Establish education on natural history..
6.    Recruit for the docent-training program for conducting interpretive tours of the Hubbell House and property and surrounding cultural landscape.
7.    Develop interpretive tours on the Hubbell House Phase I and Phase II renovation.
8.    Draft a guest-speaker series on topics of architecture, local history and other interests related to our project. Develop a guest-speaker series on topics related to our project.
9.    Create educational programs for example traditional metal and jewelry making
10.  Secure funding to support the interpretive tours for the Hubbell House and surrounding cultural landscape upon completion of Phase II renovation.

SPECIFIC COMMITTEE OBJECTIVES

We agreed that there should be a Board liaison to the committees to get them started.  As soon as possible the Board member will pass the active chairmanship of the group to a member of the committee. All committees (at least the chairs) should we at least quarterly to facilitate communication between the groups.

A) Agriculture and Open Space Committee (Juan Carrillo)

  1. Continue establishment of  the cultural landscape around the Hubbell Property  with vineyards, orchards and heirloom vegetable gardens
  2. Maintain the Heritage Orchard
  3. Refine the strategic plan for the Hubbell House Farm & landscape
  4. Maintain the  plan for operations & activities for Hubbell House Farm
  5. Assist with the docent training programs for conducting interpretive tours of Hubbell House Farm and Gardens project
  6. Establish a demonstration garden project with agricultural partners, master gardeners and the valley community (2007)
  7. Establish Children Learning Garden (2007)
  8. Continue to implement the open space plan with nature trails etc for the HH Property

B) Membership (Steve Lane)

  1. Maintain the database for reference & membership coordination, regular monthly reports to the board, etc. and maintain that database regularly (excel spreadsheet)
  2. Increase membership in HHA by 100% in 2006 to over 120 members
  3. Establish a HHA volunteer base within the membership
  4. Maintain a membership brochure supply
  5. Collect target names and send membership information for recruitment of new members
  6. Do a recruitment mailout annually
  7. Maintain the paid dues schedule

C) Finance (Lorenzo Hubbell)

  1. Maintain the financial system that assures accountability and compliance with the Corporation’s Budget and complies with the audit requirements of the State of New Mexico and the Internal Revenue 501c(3) Code
  2. Create a budget for the Hubbell House Alliance for presentation at the Board meeting
  3. Create a sustainable revenue plan for the Hubbell House
  4. Move the finances to Quicken

Fundraising (Julia Selgiman - Lawrence Lane)

  1. Solicit  funding for
          a.  Children’s Learning Garden
          b. Supplement Grant Phase II renovation
          c. Establishment of a Museum
          d. To develop Interpretive Tours-Education for the Hubbell House and surrounding cultural landscape
          e.  Design of exhibit spaces in the Hubbell House and outdoor informational       Educational kiosk displays
          f. For farm and for program-development for activities to be implemented at the             Hubbell property that will generate income
          g. Executive Director (2007)

E)   Physical Building (Carol Chapman)


1.   Set up office with computers, library & security; Communications, Rest & relax & visitor space (Fall 2006)
2.   Work with BCPR needs & objectives to establish additional community workdays at the Hubbell House and land cleanup and maintenance
3.   Work with BCRP and others to develop the use plan for the interior space.
4.   Monitor the rehabilitation process with BCRP
5. Participate in the construction planning process with BCPR
 
F) Museum & Collections Committee (Irene Kersting)
1.   Develop a plan of operations for the museum
2.   Develop an activities and an associated events calendar
2.     Establish a network and information on potential Hubbell Artifacts
3.   Plan for interim storage of the materials received.
4.   Work with education committee for a decent training program

G) Education (Marion Isidoro)

1.      Continued Development of the docent training program for house and property
  • Outline program
  • Secure experts to do training
  • Find people willing to become docents
  • Start the training
  • Develop tours with docents at end of training
  • Establish continuing education for the docents
2.   Work with the schools-see what they want and need from our program
3.   Plan a speakers series for members & the community
4.   Develop a continuing education program for the docents.
5.   Establish a library and resource list
6.   Sponsor a bird watching program at the Hubbell Property
7.   Work with community and county resources to develop nature program at the HH

H) Partners and Alliances Committee (Francis Ray)

1.   Strengthen and define our partnerships
2.   Establish working relationship with the Pajarito Village Association and other south valley neighborhood associations
3.   Look for available monies through partnerships
4.   Collaborate with partners to support  programs
5.   Look for new partnerships and collaborations
6.   Work to coordinate our yearly calendar with that of our partners.
7.   Nurture political relationships

I) Public Relations (Lorenzo Hubbell)

1.      Publish a Hubbell House  Newsletter  (La Bandera de La Casa Hubbells) to be mailed quarterly
2.      Maintain and enhance the web site postings
3.      work with newspapers and radio to keep the public aware of the Hubbell House and events
4.      Coordinate with BCPR (Liz Hamm) for promotion of HHA Activities in Sync with the Newsletter.
5.      Establish a (public relations) venue with BCPR to promote the Hubbell House Open Space

J)    Board / Strategic Planning  (Margie Hlava)

1.      Establish a formal partnership with BCPR to be renewed each year
2.      Annually review committees
3.      Solidify Committees to have all operational by December 2006
4.      Have a yearly strategy meeting
5.      Expand the Board to full complement 12 members
6.      Create a budget and sustainable revenue plan for Hubbell House Alliance
7.      Create a Board of Directors that includes representation from the greater Albuquerque area to develop an annual fund-raising campaign
8.      Establish and maintain an annual calendar
                  a. for operations
                  b. for membership events

K)  Growers Market 2007

1.    Establish a Destination Farmers/Growers Market
2.    The growers market should provide income to the Alliance from Space rental
3.    Go to the local Organic farmers and work with them to sell their wares
4.    Need bathrooms for the Market times
